    THE PROCESS AND THE FORMS


    In order to help organize the Scout as he prepares to qualify for the Eagle Scout rank, it is recommended that the Eagle Award Application and Project Workbook be presented to each Scout upon completion of his Life Scout Board of Review, unless he is more than 17 years and six months of age at that time.  The Current Service Project Workbook, No. 512-927, has explicit instructions for the Scout and Unit Leader to follow after all requirements are complete.  A new expandable Service Project Workbook as a zip file is available. The new functionalities for this electronic workbook include expandable text boxes and the ability to insert images in JPEG, GIF, TIF, and PNG formats. The Unit Leader and/or Unit Advancement Chairman should assist the Scout in filling out the Eagle Scout Award Application.

    The Eagle Scout Service Project Fundraising Application (page 17 of the Eagle Scout Service Project Workbook) must be used in obtaining approval for service project fundraising or securing donations of materials. This is necessary in all circumstances except when all contributions are from the candidate, his parents or relatives, his unit or chartering organization, parents or other members of his unit, or the beneficiary of the service project.

    To facilitate this process, Sam Houston Area Council provides a fillable PDF version of the form from the workbook with the capability to electronically submit the completed form to the council for consideration. The youth should also print a copy and include it with his project plan. Within 2 business days the youth will receive an e-mail repsonse either seeking additional information or providing project funding approval. When approved, a copy of the approval e-mail is to be included with the fundraising application as a part of the youth's project plan documentation.

    The Eagle Scout Service Project must be registered with Journey to Excellence so that we can collect information on the project. Information is posted at http://www.scouting.org/scoutsource/Awards/JourneyToExcellence.aspx.
